Payday Super from 1 July 2026: What Australian Employers Must Do in Xero

18 September 202614 min read

From 1 July 2026, Payday Super is law in Australia: you must pay super guarantee (SG) for each payday, calculate it at 12% of qualifying earnings, get contributions received and allocatable by the employee's fund within seven business days of payday (unless a longer period applies), and report both qualifying earnings and superannuation liability via Single Touch Payroll (STP). If you run payroll in Xero, that means reviewing pay-item settings, paying super with each pay run (not quarterly), and fixing rejected payments fast.

This guide walks Australian employers through what changed, what to check in Xero, and how Girl Friday Australia helps keep payroll and books clean while you stay on top of the new cadence.

What is Payday Super in Australia?

Payday Super is the ATO's name for the rules that apply to employee earnings paid from 1 July 2026. Instead of paying super guarantee once a quarter, you pay it in line with each payday.

According to the ATO's About Payday Super guidance (last updated 10 August 2026), from that date you must:

  • pay employees their super guarantee for each payday (instead of quarterly)
  • calculate super on qualifying earnings (a broader earnings base than ordinary time earnings alone)

Payday Super does not change:

  • who you pay super for (eligible employees, including independent contractors paid mainly for their labour)
  • the SG percentage (still 12%)
  • the SuperStream channels you use to pay — except the Small Business Superannuation Clearing House (SBSCH), which is closed and no longer accessible from 1 July 2026

If you still think of super as a “quarterly admin job,” that model is obsolete for paydays from 1 July 2026. The practical shift is smaller, more frequent payments, tighter fund-detail hygiene, and STP that matches what you actually paid.

What must Australian employers do under Payday Super?

You need three things working together: calculate correctly, pay on time to the right fund, and report accurately in STP.

1. Calculate SG on qualifying earnings at 12%

SG is 12% of qualifying earnings for each relevant payday. Qualifying earnings (QE) include ordinary time earnings plus amounts the ATO specifically brings into the QE base — notably all commissions, and salary sacrifice amounts that would have been QE if paid as cash. See the ATO’s Explaining qualifying earnings page (published 2 September 2026).

2. Get contributions into the fund within seven business days

Your contribution is on time if the employee’s super fund receives it with enough information to allocate it to the member account within seven business days after payday (the day you pay qualifying earnings). The ATO’s best-practice tip is to pay super on payday so clearing-house processing and corrections still fit inside the window. Details: Payment deadlines for Payday Super.

Longer windows apply in limited cases (for example, a first contribution to a fund or a new employee scenario — the ATO commonly references 20 business days for an initial contribution / new fund situation). Do not assume every pay run has 20 days; most do not.

3. Report qualifying earnings and super liability in STP

For paydays from 1 July 2026, STP must include both:

  • qualifying earnings (year-to-date per employee)
  • superannuation liability (year-to-date per employee)

STP reports must still be lodged on or before each payday. Source: Single Touch Payroll reporting under Payday Super (published 27 June 2026).

4. Stop using SBSCH

If you relied on the ATO's Small Business Superannuation Clearing House, you need another SuperStream path (for example Xero's super payment workflow / a commercial clearing house). SBSCH is not available for payments on or after 1 July 2026.

5. Clean employee fund data and fix rejects quickly

Under the updated SuperStream standards, funds generally have three business days to allocate or return contributions. Rejected payments burn your seven-business-day clock. Verify member numbers and USIs, use member verification where your software supports it, and resubmit corrections immediately. See the ATO's top tips for the 7 business day timeframe.

What are qualifying earnings for Payday Super?

Qualifying earnings are the payments used to calculate SG (and the super guarantee charge base) under Payday Super.

The ATO states QE includes:

  • ordinary time earnings (OTE) — pay for ordinary hours, including certain paid leave, allowances, bonuses and lump sums that are OTE
  • all commissions paid to an employee
  • salary sacrifice amounts that would have qualified as QE if they had not been sacrificed to super
  • certain payments for people who fall under the expanded definition of employee (including independent contractors paid mainly for their labour, where the payment is for that labour)

Common inclusions vs exclusions (employees in the ordinary sense)

Use this as a plain-English map — always check the ATO tables for edge cases:

Typically in QE

  • Ordinary hours of work
  • Casual loading
  • Shift penalties (including public holiday penalties that form part of ordinary-time treatment)
  • Annual leave, personal/carer's leave, and similar paid leave that counts as OTE
  • Commissions (including some commissions for work outside ordinary hours that were historically outside OTE but are in QE)

Typically not QE

  • Overtime payments (unless an award/EA separately requires super on overtime — that extra can sit in super liability, not in QE)
  • Expense allowances / reimbursements
  • Many termination-style payments (check ATO guidance for the specific payment)

Awards and enterprise agreements still matter. If your industrial instrument requires super on amounts that are not QE (for example overtime or certain paid parental leave), you still pay that extra super and report it in superannuation liability, while not inflating QE incorrectly.

Maximum contribution base (2026–27): the ATO notes $270,830 for 2026–27. Once an employee's earnings reach that base, you do not need further SG for the rest of the financial year; STP QE reporting can remain capped at that base amount for the rest of the year.

How does Payday Super work in Xero?

Xero is built for Australian STP payroll and SuperStream-style contribution workflows. For Payday Super, your job in Xero is less reinvent payroll and more prove every pay item is classified correctly, pay super with the run, and clear exceptions.

What to check in Xero payroll settings

  1. Qualifying earnings on pay items — Review each earnings-type pay item so Xero knows whether it counts toward QE. Use Xero's bulk qualifying earnings review under Payroll settings and add the QE column on payroll activity reporting where available.
  2. SG rate and categories — Confirm SG is 12% on the correct earnings base for FY2026–27, with salary-sacrifice and award top-ups mapped into STP super liability.
  3. Employee super fund details — USI, member number, and fund status must be clean. Warnings can become hard rejects under faster fund allocation rules.
  4. Super payment method — Pay via Xero's supported super payment / Auto Super workflow (or your clearing house) with each pay run. Do not leave a quarterly batch habit in place.
  5. STP lodgement on payday — Finalise and lodge STP on or before payday with QE and super liability. From 1 July 2027, STP that omits both risks rejection and penalties.
  6. Rejected contribution process — Nominate who watches payment status after each run and resubmit corrections the same day.

Payday Super employer checklist (use this in Xero)

Work through this once, then reuse it after every pay run.

Before / during each pay cycle

  • Confirm timesheets, leave, commissions and allowances are coded to the right pay items
  • Spot-check QE on the draft pay run against expected ordinary pay + commissions + salary sacrifice
  • Confirm every eligible employee has a valid fund / stapled fund path
  • Include SG (and any award top-up) in the same workflow as wages
  • Lodge STP on or before payday with QE + super liability

Within seven business days of payday

  • Confirm contributions show as received / allocated (or investigate rejects immediately)
  • Resubmit corrected payments the same day where a fund returns an error
  • Keep evidence of payment initiation, clearing-house receipts and corrections

Cash flow hygiene

  • Budget super every pay cycle, not as a quarterly lump sum
  • Consider a dedicated transfer for SG so the money is ring-fenced before payday

What happens if you pay Payday Super late?

If contributions are not received (and allocatable) in time, the super guarantee charge (SGC) can apply.

Under Payday Super, the ATO describes SGC as:

  • assessed by the ATO (employers do not lodge a separate super guarantee statement the old way)
  • calculated on qualifying earnings
  • including interest that compounds daily at the general interest charge (GIC) rate
  • including an administrative uplift amount (which can be reduced in some voluntary disclosure situations)
  • tax deductible (unlike the old non-deductible SGC regime)

Penalties on unpaid SGC are described by the ATO as 25% or 50%, depending on prior penalty history. The ATO has said employers who genuinely try to do the right thing will not be the focus of compliance action in the first year — that is not a free pass to ignore rejects or keep paying quarterly.

How does Payday Super change cash flow for small businesses?

The annual SG rate is still 12%. What changes is timing: more frequent outflows aligned to weekly, fortnightly or monthly pay.

If you previously floated on unpaid SG through the quarter, that buffer is gone. Practical responses:

  • Forecast SG per pay cycle in your cash-flow plan
  • Invoice and debtor follow-up so wages and super clear on payday
  • Keep bookkeeping current so payroll accruals and clearing accounts stay trustworthy

That is core bookkeeping work — bank reconciliation, payroll processing and ATO reporting — which Girl Friday delivers from $250/month, with most small business clients typically landing around $200–$600/month depending on scope. BAS & IAS lodgement by a registered BAS Agent starts from $180/quarter.

Frequently asked questions

When did Payday Super start in Australia?

Payday Super applies to employee earnings paid from 1 July 2026. Earnings paid up to 30 June 2026 followed the old quarterly SG rules. The regime is now live — employers should already be paying each payday and reporting QE in STP as their software supports it.

What is the super guarantee rate under Payday Super?

The SG percentage remains 12%. What changed is the earnings base (qualifying earnings) and the payment and reporting timing, not the headline rate.

Do independent contractors get Payday Super?

For SG purposes, you still pay super for eligible employees, and that continues to include independent contractors paid mainly for their labour. STP reporting of those contractor payments is not mandatory, but if you voluntarily report them in STP you must meet the QE + super liability rules. Confirm eligibility carefully if the engagement is mixed labour and materials.

Can I still pay super quarterly?

No. For paydays from 1 July 2026, quarterly-only payment is not compliant. Contributions must meet the payday timeframe (generally seven business days, unless a longer ATO scenario applies).

What should I do in Xero if a super payment is rejected?

Treat it as urgent. Read the error, fix fund/member details, and resubmit promptly so the fund still receives an allocatable contribution inside your deadline. Funds generally have three business days to allocate or return — delays stack quickly.
