Catch-Up Bookkeeping Australia: How to Fix Months (or Years) of Mess

23 September 202614 min read

Catch-up bookkeeping in Australia means reconstructing and reconciling your financial records after a backlog — weeks, months, or years of uncoded bank lines, missing invoices, overdue activity statements, or a software file that no longer matches reality. A registered BAS agent can restore bank reconciliations, GST coding, payroll and super records, and help you lodge outstanding BAS or IAS so you are current with the ATO again. The work is practical, not punitive: start with bank feeds and source documents, fix the periods that affect open lodgements first, then lock in a monthly rhythm so the mess does not return.

If you are reading this while avoiding Xero (or a shoebox of receipts), you are not alone. Girl Friday Australia is a registered BAS agent, Xero Certified Advisor, and Xero Gold Partner. We rebuild catch-up files Australia-wide with no judgement — then keep books and BAS current so you can run the business again.

Who needs catch-up bookkeeping?

You likely need a catch-up if any of these sound familiar:

  • Bank feeds in Xero, MYOB, or QuickBooks have hundreds of unreconciled transactions
  • You have missed one or more BAS (or IAS) due dates
  • GST codes are guessed, blank, or obviously wrong
  • Payroll ran, but STP, PAYG withholding, or super records are incomplete
  • You switched software (or stopped using it) mid-year and never finished the migration
  • Your accountant asked for year-end reports and you cannot produce a clean trial balance
  • You hired staff, took a loan, or opened a new entity and the books never caught up

Catch-up is not only for “crisis” files. Many sole traders and small companies stay mostly current on sales but let supplier bills, owner drawings, or credit-card feeds drift. That drift still breaks GST and cash-flow reporting.

What catch-up bookkeeping actually includes

Every file is different, but a proper Australian catch-up usually covers:

  1. Document intake — bank and credit-card statements, sales invoices, supplier bills, payroll reports, BAS history, ATO portal screenshots or Online services exports where useful
  2. Bank and card reconciliation — match every statement line to the ledger for the catch-up window
  3. GST and coding cleanup — correct tax codes so activity statements reflect real taxable supplies and acquisitions
  4. Accounts receivable and payable — open invoices, aged creditors, and duplicate bills
  5. Payroll, PAYG and super hygiene — wages vs drawings, STP lodgement status, super paid vs accrued (including Payday Super readiness for paydays from 1 July 2026)
  6. Outstanding activity statements — prepare and lodge overdue BAS/IAS once the numbers are trustworthy
  7. Accountant-ready pack — P&L, balance sheet, GST reconciliation, and notes for your tax agent at EOFY or when they ask

Girl Friday’s ongoing bookkeeping starts from $250/month, BAS & IAS from $180/quarter, and EOFY prep from $350 one-off. Catch-up itself is scoped after we see how far behind you are — there is no honest one-price “fix for every backlog.”

What to gather before you start (checklist)

Send what you have. Incomplete is fine; we will tell you what is missing.

Banking and cards

  • Statements for every business bank and credit-card account covering the catch-up period (PDF or CSV)
  • Loan and merchant-facility statements if they feed the business

Sales and purchases

  • Sales invoices or POS exports
  • Supplier invoices / receipts (email folders count)
  • Hire-purchase or asset purchase paperwork for larger buys

Tax and ATO

  • Previously lodged BAS/IAS (or screenshots from Online services for business)
  • ATO integrated client account summary if you have tax debt or credits
  • Any ATO letters about overdue lodgements or payment arrangements

Payroll

  • Pay-run summaries, STP finalisation status, super clearing-house reports
  • Employee start dates and fund details if payroll was informal

Software access

  • Xero / MYOB / QuickBooks invite (or spreadsheets if that is the system)
  • Read-only ATO portal access via your tax or BAS agent relationship when lodgement is part of the brief

You do not need a perfect archive. Start with bank statements and the software login. Everything else follows.

The catch-up process, step by step

1. Scope the backlog (week 0)

We agree the from–to dates, entities (sole trader vs company), software, and whether the goal is “lodge overdue BAS now,” “ready for the accountant,” or both. You get a clear quote and timeline before heavy work starts. Get a free quote or book a discovery call.

2. Secure the source of truth

Bank and card statements win arguments with software. We reconcile to statements first so GST and profit are not built on ghost balances.

3. Clear the feeds period by period

Work oldest open lodgement period first when BAS is overdue. That way each lodged statement rests on a closed, reconciled window. Parallel “nice to have” cleanup (old duplicates, chart tidy-ups) comes after compliance-critical periods.

4. Fix GST coding properly

Wrong GST codes flow straight into wrong BAS figures. We check taxable sales, GST-free and input-taxed items, imports, and adjustments against the ATO’s BAS guidance — not against vibes. See the ATO’s Business activity statements (BAS) overview and our How to prepare and lodge your BAS in Xero guide for the software workflow.

5. Separate business and personal

Owner drawings, private credit-card spend, and “temporary” loans between accounts are common in catch-up files. We reclassify them so the P&L is not pretending private spend is a business expense. Income-tax treatment of drawings and Division 7A-style company issues belong with your tax agent — we flag them; we do not redesign your structure.

6. Lodge what is due (or overdue)

Once a period is reconciled, a registered BAS agent can prepare and lodge the activity statement through the Practitioner Lodgment Service. Standard due dates and any BAS agent lodgment program concessions depend on your reporting cycle and agent arrangement — always check the due date on the statement and the ATO’s current due dates for lodging and paying your BAS.

7. Lock in the monthly rhythm

Catch-up without a maintenance plan is a round trip. After the backlog, we recommend a recurring bookkeeping cadence (most Girl Friday clients land between $200–$600/month depending on volume) so feeds clear every month and BAS is boring again.

Overdue BAS, IAS and ATO contact — stay calm

Missing a lodgement is stressful. It is also fixable.

  • Lodge as soon as the numbers are right. Do not lodge a guessed BAS just to clear a portal warning; incorrect lodgements create revision work and ATO follow-up.
  • Pay what you can, or ask about arrangements. If you cannot pay in full, contact the ATO promptly. The ATO’s guidance on what if you can't lodge and pay on time starts with talking to them early. Payment-plan strategy for income-tax debt is usually tax-agent territory; we keep the activity-statement side clean.
  • Know BAS vs IAS. A BAS generally covers GST-registered businesses (GST plus other obligations that apply). An IAS (instalment activity statement) is commonly used when you need to report PAYG withholding or PAYG instalments without GST on that form. Some businesses lodge both across a year depending on registration and withholding. If you are unsure which statement you should be receiving, that is a classic catch-up discovery item.
  • Agent concessions are not automatic magic. Using a registered BAS agent can change lodgement timing under the ATO’s BAS agent lodgment program for some quarterly clients — confirm current program dates with your agent rather than assuming every period has extra time.

Girl Friday will not invent penalty waivers or promise the ATO will “forget” history. We will get accurate statements lodged and help you face the portal with clean books.

Common catch-up mistakes (and how to avoid them)

Coding everything as GST on purchases

Not every supplier charge includes GST. Guessing 1/11th on untaxed items inflates refunds you may not be entitled to.

Leaving “Ask my accountant” forever

Suspense accounts that never clear produce meaningless reports. Catch-up means deciding, documenting, and moving on.

Mixing wages and drawings

Paying yourself from the business account without payroll setup is common for sole traders — and a mess for companies. Classification mistakes create PAYG and super risk. Unsure whether someone is an employee or contractor? See our employee vs contractor bookkeeping guide and get a tax-agent or employment-law opinion before you rewrite history.

Rebuilding only the P&L

Balance sheet errors (uncleared bank accounts, old GST control accounts, loans) are what make next year’s catch-up inevitable. Reconcile both.

DIY “big bang” with no lodgement plan

Tidying Xero for six weekends while BAS stay overdue solves the wrong problem first. Sequence: reconcile → lodge → maintain.

How long does catch-up take?

Rough planning ranges (not promises — complexity varies):

  • 1–3 months behind, tidy software: often days to a couple of weeks of focused work
  • 6–12 months behind, messy feeds: commonly several weeks
  • Multi-year or multi-entity, missing statements: longer; we phase by lodgement priority

Speed depends on how fast you can share bank statements and answer coding questions (private vs business, which job a bill belongs to). Reply within a business day on our side; the same cadence from you keeps the project moving.

DIY vs registered BAS agent

  • A few weeks of uncoded bank lines, no overdue BAS — Tax agent: Often yes; BAS agent: Optional for speed
  • Overdue BAS/IAS or ATO letters — Tax agent: Risky; BAS agent: Recommended
  • GST coding you do not understand — Tax agent: Risky; BAS agent: Recommended
  • Payroll, STP or super gaps — Tax agent: Risky; BAS agent: Recommended
  • Remote, Australia-wide. Secure document share, video calls, phone 0404 877 436, email info@girlfridayaustralia.com.
  • No lock-in contracts. Stay because the books finally make sense.
  • Transparent pricing floors on services — catch-up scoped after assessment; ongoing bookkeeping from $250/month; BAS & IAS from $180/quarter.

After catch-up: keep it from coming back

  1. Reconcile weekly or at least monthly — small batches beat annual archaeology
  2. Separate business and personal accounts — every private swipe is future catch-up fuel
  3. Photograph receipts in the moment — Hubdoc/Dext-style tools help; so does a dedicated inbox
  • Need accountant-ready year-end pack soon — Tax agent: Possible if skilled; BAS agent: Usually faster and safer
  • Shame or overwhelm stopping you opening the file — Tax agent: —; BAS agent: This is literally what we do

BAS services for a fee are regulated by the Tax Practitioners Board. Choosing a registered BAS agent matters when someone is ascertaining GST/PAYG amounts or lodging activity statements on your behalf. Girl Friday is registered for that work. Pure data entry to your instructions is different — but most real catch-ups need judgement on GST and lodgement, not just typing.

What Girl Friday does differently

  • No judgement. Months or years behind is a logistics problem, not a character flaw.
  • Plain English. You get explanations you can repeat to your accountant or business partner.
  • Xero-native. Certified Advisor and Gold Partner — we live in the file you already use (and can migrate from MYOB, QuickBooks, or spreadsheets).
  1. Diary BAS due dates (and agent concession dates if you use an agent)
  2. Review payroll and super each pay cycle — Payday Super from 1 July 2026 rewards clean fund data and on-time contributions; see our Payday Super Xero employer guide
  3. Book EOFY prep early — from $350 one-off if you want an accountant-ready close without the June scramble

Frequently asked questions

How far behind is “too far” for catch-up bookkeeping?

There is no magical cut-off. Multi-year files take longer and may need phased lodgement, but they are still recoverable if bank statements exist. Missing statements are the usual blocker — not the calendar.

Will the ATO fine me for late BAS during catch-up?

Failure to lodge or pay on time can attract failure-to-lodge penalties and general interest charge on unpaid amounts. Outcomes depend on your history and how you engage with the ATO. We do not promise waivers. Getting accurate lodgements in and talking to the ATO early is the practical path — see ATO guidance on late lodgement and payment.

Can you catch up MYOB or spreadsheet books, or only Xero?

We work with Xero as the preferred platform (Certified Advisor / Gold Partner), and we also help clients on MYOB, QuickBooks, or spreadsheets — including migrations into Xero when that is the right move.

Do I need catch-up before my accountant does my tax return?

Usually yes, if the ledger is incomplete. Tax agents build returns from reliable records. Sending an unreconciled file creates write-ups, delays, and higher fees. Catch-up bookkeeping plus EOFY prep is how you hand them something usable.

Is catch-up the same as “BAS only”?

No. Lodging BAS is one output. Catch-up is the underlying rebuild of reconciliations, coding, and often payroll/super so those lodgements (and your P&L) are trustworthy.

What if I have tax debt as well as messy books?

We clean and lodge activity statements and keep the compliance records straight. Formal payment arrangements, remissions, and income-tax strategy sit with your registered tax agent or the ATO directly. Many clients use both: Girl Friday on books/BAS, tax agent on the return and debt strategy.

Ready to clear the backlog?

Catch-up bookkeeping is how Australian small businesses stop dreading the ATO portal and start trusting their numbers again. You do not need a perfect archive to begin — you need bank statements, software access, and a partner who will not flinch at the mess.

Girl Friday Australia — registered BAS agent, Xero Certified Advisor, Xero Gold Partner — rebuilds catch-up files remotely across Australia, then keeps bookkeeping and BAS on track with no lock-in and plain-English support.
