MYOB to Xero Migration: A Practical Guide for Australian SMBs

1 October 202613 min read

MYOB to Xero migration for an Australian small business means choosing a clean cut-over date, reconciling MYOB up to that day, moving (or rebuilding) balances and contacts into Xero, then validating bank, GST, receivables, payables and payroll before you cancel MYOB. Most successful switches use a financial-year or BAS-quarter start, keep MYOB read-only for history, and treat payroll/STP as a careful hand-build — not a blind copy-paste. Done properly, your next BAS lodges from Xero with numbers you trust.

If your MYOB file feels stuck on a desktop, or your bookkeeper already lives in Xero, you are in the right place. Girl Friday Australia is a registered BAS agent, Xero Certified Advisor, and Xero Gold Partner. We help Australia-wide with Xero setup (from $400 one-off), catch-up if the old file is messy, and ongoing bookkeeping from $250/month — no lock-in, no jargon.

Scope note: This is practical bookkeeping and activity-statement guidance for switching software. It is not income-tax strategy, structure advice, or a promise that every MYOB file converts perfectly. Complex payroll, Division 7A, or tax planning questions belong with your registered tax agent or accountant.

Why Australian businesses move from MYOB to Xero

People switch for practical reasons — not because one brand is “morally better”:

  • Their accountant or BAS agent already works in Xero
  • They want cloud access without desktop file juggling
  • Bank feeds, receipt apps, and remote collaboration fit their workflow better
  • Payroll and Single Touch Payroll (STP) sit more cleanly with how their adviser supports them
  • They are tired of a cluttered chart of accounts or a file that only one person can open

Xero partners with conversion specialists such as Jet Convert for many MYOB desktop and online migrations (see Xero’s Convert your small business accounts to Xero page). Your job is not to become a conversion engineer — it is to pick a date, clean the source file, and validate the new one.

When should you cut over?

Pick one definitive last day in MYOB. After that date, new transactions live in Xero only.

Best options for Australian lodgement cycles:

  1. 1 July — start of the financial year (cleanest for reporting and many payroll YTD setups)
  2. Start of a BAS quarter — 1 July, 1 October, 1 January, or 1 April for quarterly reporters
  3. Start of a calendar month — workable if banks and GST can be closed cleanly

Avoid when you can: mid-BAS-period switches. You split one GST period across two systems, which means more reconciliation work and more chances to double-count or miss a line.

If Q1 2026–27 BAS is approaching (standard due 28 October 2026 for many quarterly reporters — confirm on your statement and the ATO’s due dates for lodging and paying your BAS), decide whether to lodge the open quarter from MYOB first, then cut over, or to migrate with a deliberate split-period plan. Your BAS agent can map that with you.

Two migration paths (choose deliberately)

Path A — Conversion service (history comes across)

Use a specialist such as Jet Convert (Xero’s commonly referenced conversion partner) when you want historical transactions and comparative reports in Xero. Typical flow:

  1. Clean and freeze MYOB to your cut-over date
  2. Back up / grant access as the converter requires
  3. Converter builds or populates a Xero organisation
  4. You complete their action checklist (chart tidy, GST codes, bank mapping)
  5. You validate balances before anyone invoices or pays from Xero as “live”

Jet Convert commonly quotes turnaround in the order of a few business days once packages and access are sorted — confirm current timing on jetconvert.com, especially after EOFY when queues grow.

Path B — Opening balances only (keep MYOB for history)

Bring opening balances, contacts, and open invoices/bills into a fresh Xero file. Keep MYOB read-only for historical BAS, invoices, and audit trails. This is often smarter when the MYOB file is messy, you only need clean books from cut-over forward, or you want a simpler chart of accounts without importing decades of clutter.

Both paths are legitimate. “Full history in Xero” is nice-to-have; correct GST and bank balances from day one are non-negotiable.

Pre-migration checklist (do this before anyone converts)

Work through this list in MYOB (or with your bookkeeper) before upload or opening-balance entry:

Banking and clearing

  • Reconcile every bank, credit card, and loan account to the cut-over date
  • Clear undeposited funds / electronic clearing style accounts to nil where possible
  • Export PDF statements covering the last reconciled day

Receivables and payables

  • Match aged receivables to open customer invoices
  • Match aged payables to supplier statements
  • Apply or clear credit notes that should not hang open

GST and activity statements

  • Confirm cash vs accruals GST basis (this must match how you report)
  • Lodge any overdue BAS/IAS you can finalise from MYOB before cut-over
  • Export GST reports / BAS workpapers for the open period

Payroll and STP

  • Finalise the last MYOB pay run and STP lodgement for that payday
  • Export YTD wages, PAYG withholding, leave balances, and super details
  • Plan how Xero payroll will pick up YTD figures (especially mid-financial-year)

Records and access

  • Full MYOB backup stored offline and in cloud storage you control
  • PDF exports of P&L, balance sheet, trial balance, and aged AR/AP at cut-over
  • List every integration (receipt apps, job software, ecommerce, payment gateways)

The ATO’s digital record keeping guidance is clear: download a complete copy of records stored in the cloud before you change software provider and lose access. Keep records that support your tax and super affairs for the ATO’s retention periods (commonly discussed as five years for many business records — check current ATO rules for your situation).

What usually transfers — and what you rebuild

Exact coverage depends on converter package and source product (AccountRight desktop vs MYOB Business online, etc.). Plan for this pattern:

  • Chart of accounts — often moves, but usually needs tidy to a Xero-friendly structure plus tracking categories
  • Contacts — usually importable; deduplicate and fix ABNs and emails
  • Historical transactions — via conversion packages; not with opening-balance-only
  • Open invoices and bills — often transferable; confirm GST and amounts
  • Bank feeds — do not transfer; reconnect in Xero after go-live
  • Payroll employees and YTD — rarely set-and-forget; plan manual setup and STP continuity
  • BAS history — keep in MYOB and the ATO portal; do not assume Xero holds old BAS PDFs

Treat conversion output as a draft file until you have signed off the validation checklist below.

GST, BAS and chart of accounts — where DIY migrations fail

Wrong tax codes in Xero create wrong BAS figures. After conversion:

  1. Confirm organisation GST settings (registered, cash/accruals, reporting period)
  2. Map MYOB tax codes to Xero tax rates carefully
  3. Run Xero’s GST reports for a test period and compare to MYOB for the same dates
  4. Do not lodge the first Xero BAS until bank and GST reconciliation agree

If your books were already messy, fix coding before or as part of migration — otherwise you import the mess. Our How to prepare and lodge your BAS in Xero guide covers the lodgement workflow once the file is trustworthy. For broader GST rules, see our GST in Australia complete guide and the ATO’s BAS overview.

Xero prefers a flatter chart of accounts than many old MYOB hierarchies. Use tracking categories for jobs, locations, or departments instead of cloning every MYOB sub-account.

Payroll and STP when you switch mid-year

Payroll is the sharp edge of any mid-year move.

  • Complete STP for the final MYOB payday before cut-over
  • Set up employees, earnings, allowances, leave, and super in Xero
  • Enter year-to-date figures so STP stays coherent
  • Under Payday Super (from 1 July 2026), pay SG each payday on qualifying earnings and report via STP — your Xero payroll settings must support that cadence (see our Payday Super Xero employer guide)

If payroll is complex, loop in your BAS agent and tax adviser before go-live. Do not run a live pay run in Xero until a test pay compares to MYOB.

Post-migration validation checklist (sign off before cancelling MYOB)

Compare MYOB (at cut-over) to Xero:

  1. Trial balance — assets, liabilities, equity line up
  2. Bank and card balances — match statements
  3. Aged receivables and payables — totals and key customers/suppliers
  4. GST control — sensible versus last lodged BAS
  5. Open invoice and bill samples — spot-check five of each
  6. Payroll YTD — wages, PAYG, leave, super for each employee
  7. Bank feeds — connected and reconciling new transactions only
  8. Users, permissions, and integrations — bookkeeper, tax agent, and apps pointed at Xero
  9. First live week — invoices, bills, and one full bank reconcile completed

Keep MYOB read-only for at least one full BAS cycle (longer is fine). Cancelling access the day after conversion is how historical invoices disappear when you need them.

How Girl Friday Australia helps with MYOB to Xero

We make the file usable for BAS and monthly reporting:

  • Scope conversion support, opening balances, or catch-up first
  • Clean MYOB (or accept opening-balances-only)
  • Build or tidy the Xero chart, GST codes, bank feeds, and tracking
  • Hand-build payroll/STP continuity where needed
  • Reconcile and prepare the first BAS from Xero with plain-English explanation
  • Stay on as monthly bookkeeping so the new file does not drift

Published floors on our site: Xero setup from $400 one-off, bookkeeping from $250/month, BAS & IAS from $180/quarter. Most small business clients land around $200–$600/month depending on volume. Catch-up or complex migrations are scoped after we see the file.

Common mistakes to avoid

  • Migrating a reconciled-in-name-only MYOB file
  • Switching mid-quarter without a GST plan
  • Assuming payroll “comes across fine”
  • Cancelling MYOB before you have PDFs and a backup
  • Copying a bloated chart of accounts without redesign
  • Going live in Xero while still posting into MYOB
  • Lodging BAS from Xero before GST reports are checked

If you are months behind as well as switching software, fix the backlog on purpose — see Catch-up bookkeeping Australia.

Frequently asked questions

How long does a MYOB to Xero migration take in Australia?

File prep is often the longest part — days to a couple of weeks depending on how reconciled MYOB is. Technical conversion via a specialist is frequently measured in a few business days once access and package selection are complete. Add buffer before your next BAS due date.

Can I migrate from MYOB to Xero mid-financial year?

Yes. Many businesses do. Mid-year means extra care with STP YTD, leave balances, and GST for the open BAS period. 1 July or a BAS quarter start is still easier when you have a choice.

Will my old BAS history appear in Xero?

Do not rely on that. Keep MYOB read-only (or PDF archives) plus ATO Online services history. Xero becomes the system of record from cut-over forward.

Do I need a registered BAS agent to switch software?

Not every click requires an agent — but GST coding, activity-statement preparation, and many payroll/STP setup decisions sit in regulated BAS-service territory when done for a fee. See the Tax Practitioners Board material on BAS services if you are unsure.

What if my MYOB file is a mess?

Do not convert chaos hoping Xero will magically fix it. Clean MYOB first, or start Xero with opening balances and keep MYOB as a historical archive. Girl Friday does shame-free catch-up — start here.

How much does Girl Friday charge for Xero setup after MYOB?

Xero setup starts from $400 one-off on our services page. Migrations that include catch-up or payroll rebuild are quoted after a discovery call so the price matches the file.

Should I cancel MYOB immediately after conversion?

No. Keep read-only access through at least one full BAS cycle. Confirm bank feeds, first pay runs, and first Xero BAS before you drop the old subscription.

Soft next step

If you want the migration handled by people who will also lodge your BAS and keep Xero clean afterwards, Girl Friday can map the cut-over date, prepare the file, and stay on for monthly bookkeeping.
