Remote bookkeeping in Australia means a registered BAS agent or bookkeeper looks after your books, BAS and payroll online, without ever sitting in your office. You share access to your accounting software (usually Xero), send receipts and statements digitally, and talk by phone, email or video. Done properly, it's just as compliant as a local bookkeeper, and often faster, because everything lives in the cloud.
That's the short answer. The longer one is what most people actually want to know before they hand over their books to someone they haven't met in person: how it works day to day, what you need to set up with the ATO, how to check you're dealing with a genuine registered agent, and what it costs. Let's go through it in plain English.
What is remote bookkeeping?
Remote bookkeeping (also called online or virtual bookkeeping) is ordinary bookkeeping done over the internet. Your bookkeeper reconciles your bank feeds, codes transactions, processes bills and invoices, runs payroll and prepares your BAS, all from their own desk, using the same cloud software you log in to.
Quick definition: BAS agent. A BAS agent is a bookkeeper registered with the Tax Practitioners Board (TPB) to provide BAS services for a fee, such as working out your GST and PAYG withholding amounts and preparing and lodging your activity statements with the ATO. If someone does that work for you for a fee and isn't registered (or exempt), they're doing it illegally.
The "remote" part changes where the work happens, not the rules it follows. Your bookkeeper still has to meet the same TPB registration and Code of Professional Conduct obligations as one down the road. If you want the full difference between a BAS agent and a tax agent, our BAS agent vs tax agent guide covers it.
Who is remote bookkeeping good for?
Remote bookkeeping suits most Australian small businesses that run on cloud software, and it's especially handy if you:
- Live outside a capital city. Regional businesses get the same level of help without driving to an office or settling for whoever is local.
- Are always on the move. Tradies, mobile services and anyone working from a ute or a phone can snap receipts on the go instead of saving a shoebox for a monthly drop-off.
- Already use Xero (or want to). Cloud software is what makes remote work smooth. If you're still on desktop MYOB or spreadsheets, a move to Xero usually comes first. Our MYOB to Xero migration guide explains how that goes.
- Are behind. Catch-up work is very well suited to remote help, because most of it is rebuilding records from bank statements and digital copies. More on that in our catch-up bookkeeping guide.
- Want someone who explains things. A good remote bookkeeper talks you through your BAS and reports on a quick call rather than leaving you with a pile of printouts.
It's less of a fit if your records are almost entirely paper and you'd rather not scan anything, or if you genuinely prefer sitting across a desk from someone every month. Even then, most paper records can be photographed or scanned in minutes, and the ATO accepts true and clear digital copies.
How does working with an online BAS agent actually work?
Here's what the process usually looks like, step by step.
- A discovery call. You talk through your business, your software, how far behind (or ahead) you are, and what you want taken off your plate. This is where you should ask about registration, pricing and turnaround times.
- A clear quote. You get a scope that spells out what's included: bookkeeping frequency, BAS or IAS, payroll, accounts payable and receivable, and anything one-off like catch-up or Xero setup.
- Access to your software. You invite your bookkeeper as a user in Xero (or your current software) with the right permission level. You stay the owner of your file and your data.
- ATO access and agent nomination. Your bookkeeper needs to be linked to your business with the ATO before they can see your accounts or lodge for you. For most businesses with an ABN, that means you nominate them in Online services for business (details below).
- A simple document routine. You agree how receipts, bills and statements come in. Usually that's bank feeds plus a receipt-capture app, a dedicated email address or a shared folder, so nothing relies on you remembering to post anything.
- Regular bookkeeping. Weekly, fortnightly or monthly, your bookkeeper reconciles accounts, codes transactions and flags anything they need from you, usually in one short list rather than a drip of emails.
- BAS review and lodgement. Before each BAS is lodged, your agent reconciles GST, checks the figures and explains what you owe (or what's coming back) in plain English. You approve it, and they lodge it through the ATO's online services.
- Reports and check-ins. You get your profit and loss, balance sheet and any cash flow or aged receivables reports you need, plus a quick call when something needs a decision.

What do you need to set up with the ATO?
This is the step that trips people up most with any new bookkeeper, remote or not, so it's worth getting right.
Client-to-agent linking (agent nomination)
Since 13 November 2023, the ATO's client-to-agent linking process has applied to all entities with an ABN, except sole traders. That includes companies, partnerships and trusts. According to the ATO's client-to-agent linking guidance, you need to nominate an agent when you engage a new registered tax or BAS agent or payroll service provider, or change the authorisations you give an existing one.
The ATO's how to nominate your registered agent page sets out the process. In short:
- Set up your myID. The principal authority (or an authorised person) needs a myID, the government's Digital ID app.
- Link it to your ABN. You do this in Relationship Authorisation Manager (RAM).
- Log in to Online services for business. Go to Profile, then Agent details, then Agent nominations, and select Add.
- Search for your agent. Enter their registered agent number, check the details, complete the declaration and submit.
- Tell your agent you've done it. The ATO doesn't notify them automatically, and they have 28 days to add you as a client before the nomination expires.
Your agent can't complete the nomination for you, but a good one will talk you through it on a call.
If you're a sole trader
Sole traders don't currently go through the nomination step. Your BAS agent adds you as a client using their usual process with the ATO, so getting started is usually quicker.
Never share your myID login
Remote work never requires you to hand over your myID, myGov or bank passwords. A registered agent accesses your ATO accounts through their own agent credentials once they're linked to you. If anyone asks for your personal login details, treat that as a red flag.
How do you check a remote bookkeeper is legit?
When you can't pop into someone's office, it's fair to want proof. Here's what to check:
- Search the TPB Register. The TPB public register lets you search by name, business name or registration number, and filter by BAS agent or tax agent. You want to see a status of "Registered".
- Look for the registered tax practitioner symbol. The TPB encourages registered agents to show it on their website and email signatures.
- Ask what's included. You should get a written scope and know who is actually doing your books.
- Ask about access. They should be asking you to invite them to your software and nominate them with the ATO, not asking for your passwords.
- Check software credentials. Xero's advisor directory lists certified advisors and partners, which tells you they know the platform well.
- Read the reviews. Google reviews and testimonials from businesses like yours give you a feel for how they communicate.

Is remote bookkeeping secure?
It can be very secure, provided you and your bookkeeper follow sensible habits. Cloud software like Xero lets you give each person their own login and permission level, so nobody needs to share passwords, and you can remove access at any time.
On the record-keeping side, the ATO's digital record keeping guidance says it accepts images of paper records, as long as they're true and clear copies and meet its record-keeping rules. Once you've saved a good digital copy, you generally don't need to keep the paper unless another law requires it. Most business records still need to be kept for 5 years.
A few habits worth building in:
- Use individual logins in Xero and any receipt app, with two-step verification switched on.
- Keep the actual records, not just the figures. Entering an amount into Xero isn't enough on its own; the ATO expects you to keep a copy of the receipt or invoice too.
- Download a full copy of your records before you ever switch software, so you don't lose access.
- Be wary of payment-detail changes by email. If a supplier "changes their bank account", confirm it by phone before anyone updates it.
What does remote bookkeeping cost in Australia?
Pricing depends on how many transactions you have, how often you need the work done, whether you have payroll, and how tidy your books are to start with. As a guide, Girl Friday Australia's published prices start from:
- Bookkeeping: from $250 per month
- BAS and IAS lodgement: from $180 per quarter
- Accounts payable and receivable: from $200 per month
- Xero setup and training: from $400 one-off
- EOFY preparation: from $350 one-off
- Admin support: from $60 per hour
Most of our small business clients land somewhere between $200 and $600 a month, depending on what they need. Catch-up work is quoted after we've had a look, because every backlog is different. There are no lock-in contracts. For a deeper breakdown, read what a registered BAS agent costs in Australia, or see the full list on our services page.
Do remote BAS agents get extra time to lodge?
Often, yes. Registered agents who lodge electronically can use the ATO's BAS agent lodgment program, which gives extra time for some quarterly activity statements. For example, the ATO's BAS agent lodgment program 2026–27 shows the July to September 2026 quarter BAS, normally due on 28 October 2026, has a concessional due date of 25 November 2026 when lodged electronically through an agent. The October to December quarter doesn't get a concession, and monthly lodgers generally don't either.
That concession depends on your agent's lodgment program, so check the dates with them rather than assuming. Our BAS due dates 2026–27 guide has the full table. And extra time to lodge isn't a reason to leave things to the last minute: payment due dates follow the same program, and late lodgement can still bring penalties and interest.
Remote vs local bookkeeper: what's the real difference?
For most small businesses, it comes down to convenience, not quality:
- Compliance: the same. Both must be TPB registered to provide BAS services for a fee, and both follow the same ATO rules.
- Software: remote bookkeepers almost always work in the cloud. Local ones may still use desktop systems or paper drop-offs.
- Choice: remote opens up the whole country, so you can choose on fit, experience and software skills rather than postcode.
- Communication: remote relies on phone, email and video. A good remote bookkeeper replies quickly and explains things clearly. We reply within one business day.
- Face-to-face: if you really value an in-person meeting every month, local wins on that one point.
If you're specifically weighing up local options in Sydney, our Sydney bookkeeping services guide goes into that.
When should you speak to a tax agent or accountant instead?
A registered BAS agent looks after your bookkeeping, BAS, IAS, payroll and related ATO reporting. Questions about income tax strategy, choosing or changing your business structure, Division 7A planning or the best way to pay yourself as a company director sit with a registered tax agent or accountant. A good remote bookkeeper will keep your books clean and accountant-ready, and tell you when a question is outside their scope.
Frequently asked questions
Can a remote bookkeeper lodge my BAS?
Yes, if they're a registered BAS agent (or tax agent) and they've been linked to your business with the ATO. They lodge through the ATO's online services for agents, the same way a local agent would.
Do I have to be in the same city as my bookkeeper?
No. Remote bookkeeping works anywhere in Australia, from regional towns to capital cities. Everything is handled through your accounting software, email, phone and video calls.
How do I give my bookkeeper access to Xero?
You invite them as a user from your Xero organisation settings and choose their permission level. You remain the subscriber and owner of your data, and you can change or remove their access at any time.
What do I need to send a remote bookkeeper?
Usually just access to your software and bank feeds, plus your receipts, bills, sales records and any ATO letters. Most people use a receipt-capture app or a shared folder so it happens as they go.
Is it safe to send financial documents online?
It's safe when you use proper tools: individual logins with two-step verification, your accounting software's own document storage or a secure shared folder, and never sharing your myID or bank passwords. The ATO accepts true and clear digital copies of paper records.
How do I switch from my current bookkeeper to a remote one?
You engage your new bookkeeper, nominate them with the ATO if your business has an ABN and isn't a sole trader, invite them to your software, and remove the old bookkeeper's access. Your new bookkeeper will usually review your file first and tidy up anything that's out of balance.
Can you help if I'm months behind on my BAS?
Yes. Catch-up bookkeeping is one of the most common reasons people come to us, and it works well remotely. No judgement, we've seen it all.
